Overview
Redaction marks can also be applied on spreadsheets. Room Admins can redact specific cells and also images in spreadsheets.
Getting There
There are 2 ways of accessing Toolbox Mode in order to redact spreadsheets:
- Pop out the Viewer and click on Toolbox Mode button.
- On File Information panel, Document Actions section, click on Redaction icon. Toolbox Mode is opened on a separate browser tab and automatically set.
Note: when selecting slipsheeted spreadsheets, and selecting Toolbox mode, everything will be disabled since slipsheets cannot be redacted.
Toolbox Mode
In order to apply redactions, just select some cells, select the redaction color and click on redact button. Cells will turn green and will show a "Redacted" label , that can be edited if desired. Also, the list of redacted cells will be shown on Redaction List section, displaying Sheet Name, Created By, Redaction Label and Cell Name.
Until the user clicks on Finalize Redaction button, these redaction marks will be "unapplied".
Note: Neither Blank Cells or complete sheets can be redacted.
Redact Linked Cells:
If this checkbox is checked, when redacting a cell, all cells which are linked to the cell being redacted, will be redacted as well.
Hide / Show Redactions:
When clicking on Hide Redactions button, the text under redacted cells will be shown, if "Selected Cells" checkbox is checked, it will only show the text of the selected cells, if its unchecked, it will display the text from all redacted cells.
Clicking on Show Redactions, will display redactions on cells, if "Selected Cells" is unchecked, will show redactions on all document, instead, if its checked, it will only show redactions on selected cells.
Actions on Redaction List:
- Change Label: Check the corresponding row (s) on Redaction List, click on change label icon
. On pop up, edit the label and click ok. All redaction marks selected were updated.
- Delete: Check the corresponding row (s) on Redaction List, click on Delete icon
and after clicking ok on pop up, all selected cells will turn red. Once you finalize Redaction, the changes will be applied.
- Restore: Check on a row which has been deleted and click on Restore
in order to show the redaction mark again on the selected cell.
- Navigate to a specific redacted cell: When you click on row from Redaction List, the row and the corresponding redacted cell will turn yellow and focus will be set on the redacted cell.
Note: Redaction marks cannot be moved or resized.
Colors and Redaction Marks
Redactions can have different colors according to their status:
- Green: identifies unapplied redactions, this means, redactions which have not been saved.
- Yellow: identifies the redaction currently focused.
- Red: identifies redactions that have been deleted, but haven't been finalized.
- Black: Once Finalize Redaction button is selected, all redaction marks will turn black indicating that they are saved.
Redactions and Unapplied Redactions
On Document List panel, there are 2 columns which are related to redactions:
- Redacted: This column will be checked when document has saved redactions.
- Unapplied Redactions: This column will be checked when document has unsaved redactions
A document can have both, Saved and unsaved redactions.
Also, on File Information panel, when the document has unapplied redactions, a magenta label will be shown indicating this situation
Review Mode
User can toggle from Redaction to Review Mode at any time by clicking on Review Mode button on the top right corner of the screen.
When switching to Review Mode, all saved redaction marks will be displayed in the color in which they were created (black or white).
Unapplied redactions will not be seen on Review Mode.
No action can be performed on Redactions on Review Mode.
