Overview
The Document Viewer is the panel on the right side of the Documents List. When a User selects a document, its content is displayed in the Viewer.
The Viewer renders documents according to their file type. Users can switch viewer modes manually using the Select Viewer dropdown in the Viewer toolbar.
Getting There
The Document Viewer is visible by default when a room is open. No navigation is required.
To show or hide the Viewer controls toolbar, open the Tools Menu and toggle the viewer controls option. New Users have viewer controls enabled by default.
Viewer Types
Use the Select Viewer dropdown in the Viewer toolbar to choose how a document is displayed. The available viewer types are:
| Viewer | Description |
|---|---|
| Auto (default) | Automatically selects the best viewer based on the file type. When a search is active, search term hits are highlighted. This is the default selection. |
| Print View | Displays the print version of the document, including content that may not render in other viewers. |
| HTML / Search Hits View | Displays the HTML representation of the document. Search term hits are highlighted when a search is active. |
| Spreadsheet View | Displays the content of spreadsheet and CSV files in a grid layout. |
| Diff View | Displays a side-by-side comparison of the selected document against a base document. Used with Near Duplicate Analysis. |
Note: Audio, video, and unsupported file types do not display the controls bar.
Office Online viewer will no longer be supported in version 5.9
Unsupported Spreadsheet Content
When a spreadsheet file contains content that cannot be rendered in Spreadsheet View — such as charts or form elements — the Viewer displays a prompt asking whether to switch to Print View.
Selecting Switch to Print Viewer displays all content in print version. Selecting Close keeps the document in Spreadsheet View, but unsupported elements will not be displayed.
Document Highlights Selector
The Document Highlights Selector is available in the Viewer toolbar when Auto or HTML viewer is active.
Users can select one or more saved search term sets from the dropdown. Keywords from selected sets are highlighted in the Viewer when present in the document. For more information, refer to the Managing Persistent Highlight Sets article.

Note: Searches run through the built-in search panel are not saved to the Search History dropdown.
Document Status Messages
In some cases, the Viewer displays a status message instead of document content. Common messages and their meanings are listed below:
| Message | Meaning |
|---|---|
| [extension] is not supported | The file type cannot be rendered in the Viewer. |
| ...is preparing your document for viewing. Please wait or return back shortly. / Document is still processing... | The document is not yet ready to display. |
| Please Activate Index Process To Review The File | The room's Index setting is not enabled. Contact your Administrator. |
| Share Expired | The shared document link has expired. |
| Quarantined Document Selected | The document has been quarantined and cannot be viewed. |
| No Document Selected | An empty folder is selected in the Documents List. |
| Document Is Too Big To Precache | The document was not precached and cannot be rendered automatically. An Administrator can manually precache the document. |
Watermarks
If the room has watermarks configured, watermarks are displayed on documents in the Viewer. Slipsheeted documents do not display watermarks.
Email Rendering
When an email is displayed in the Viewer, dates are shown according to the Time Zone configured in the room settings.
Popping Out the Viewer
The Viewer can be popped out to a separate browser tab. This is useful when working across two monitors.
To pop out the Viewer, click the Pop Out icon in the top-right corner of the Viewer toolbar. The Viewer will open in a new browser tab and the Viewer panel in the main room window will hide.
In the popped-out Viewer, the following features are available:
| Feature | Details |
|---|---|
| Document navigation | Use the Next (>) and Previous (<) arrows to move between documents, or select a different folder or row in the Documents List in the main window. |
| File name | The current document's file name is shown in the header below the Viewer dropdown. |
| Coding and Custom Fields Panel | Accessible on the right side of the popped-out Viewer. One tab shows the Coding panel and the other shows Custom Fields. |
| Email Thread Panel | Displayed on the left side when Email Thread Analysis has been run and the selected document belongs to a thread. Users can navigate to related emails and attachments by clicking on them. |
| Redaction Mode | Clicking Redaction Mode refreshes the page and enables the User to add redaction marks. For more information, refer to the Redacting Documents article. |
To return the Viewer to the main room window, close the popped-out browser tab. The Viewer will reopen in the main window automatically.
Production Viewer
The Production Viewer dropdown is available in E-discovery rooms only. It appears in the Viewer toolbar for all Users and displays the Bates numbers of every production the selected document appears in.
If the document has not been produced, the dropdown is displayed but disabled.
When a production is selected, the User can toggle between two views:
| Option | Description |
|---|---|
| Image | Displays the Bates-stamped image version of the document as it was produced. |
| Native | Displays the native file. For Excel files, this renders using Spreadsheet View. |
Both in-house productions (produced within QuikData) and imported productions (uploaded via the Importer Utility) are listed in the dropdown.
