Overview
Quick Search is the fastest way to run a basic keyword search across document contents in QuikData. It is designed for simple, speedy discovery when you need to find documents that contain one or more terms without building a complex query.
Getting There
A search bar on top of the Room Main Page.
Supported Input
In the Quick Search box, you can enter:
- A single word or phrase to find documents containing that text
- Multiple words separated by commas (,)
- dtsearch syntax
When multiple terms are separated by commas, QuikData interprets the input as an OR search, meaning documents containing any of the listed terms are returned.
Example:
This search returns documents containing contract or agreement or invoice.
What Quick Search Is Best For
Quick Search is ideal when you want to:
- Find documents that contain specific keywords or terms quickly
- Search across all indexed documents without configuring detailed search parameters
- Get immediate results into a temporary result set that you can explore right away
Quick Search is designed for fast, ad hoc searching using keyword and dtSearch syntax. While it supports dtSearch features such as proximity operators, it does not support structured Boolean logic (for example, AND / OR / NOT groupings across multiple fields) or advanced condition-building. For more complex, reusable, or multi-condition searches, Advanced Search or Search Manager may be more appropriate.
How to Run a Quick Search
- Click into the Quick Search box at the top of the screen.
- Enter one or more search terms (use commas to separate multiple terms).
- Press Enter.
- Review the returned documents in the results list.
What Happens Next
After a Quick Search is executed:
- Documents containing one or more of the search terms are returned in the results
- Matching terms appear as Keyword Search hits within documents when viewed in the Document Viewer
- See Search Results & Highlights and learn more about visual cues related to the search results
- QuikData applies a temporary search filter and focuses a system-generated results folder named after the search terms
Documents that belong to the same document family (such as emails with attachments) are included when they contain hits, helping ensure related content is not missed. More advanced family handling and thread suppression logic is managed through other search tools.
The results view may also display a Keyword column indicating which terms caused a document to be returned, providing at-a-glance insight into relevance.
Quick Search results are intended for immediate review and exploration. Details on saving or reusing search results are covered in Saved Searches.
Limitations
Quick Search is intentionally streamlined and does not support:
- Building multi-field or conditional queries (for example, combining keyword searches with metadata fields)
- Fine-grained control over search scope, such as selective field targeting or advanced filtering options
- Managing search governance, permissions, or long-term reuse
While Quick Search supports advanced dtSearch operators, it is optimized for ad-hoc discovery rather than structured or reusable searches.
For more controlled or reusable search workflows, consider using Advanced Search or Search Manager.
Notes
- Running a new Quick Search replaces the previous temporary results
- Quick Search does not automatically create reusable saved searches
- Highlighting behavior is temporary and tied to the active search
