Overview
The Documents grid displays the documents contained in the folder currently selected in the Work Folders List. It is the primary workspace for document review, giving Users access to document metadata, sorting and filtering tools, and the Document Viewer. Each row in the grid represents one document.
The grid is highly configurable through saved layouts. Users apply layouts to control which fields appear as columns, and Administrators can define and manage layouts for the room. Actions available on individual documents depend on the User's room permissions.
Getting There
The Documents grid is the center panel of the Room Main Page. It loads automatically when a User opens a room. Selecting a different folder in the Work Folders List refreshes the grid to show that folder's documents.

Grid Toolbar
The toolbar runs across the top of the Documents grid. It contains sort controls, the layout selector, and additional options.
Sort Controls
Two quick-sort buttons appear at the left of the toolbar. These are available in eDiscovery rooms only.

Layout Selector
The layout dropdown displays the name of the currently applied layout. Clicking it opens a list of all available layouts for the room. Each layout is marked with a scope badge next to its icon.

Layouts the User can edit or delete show pencil (rename) and trash (delete) icons on the row. Global layouts are read-only and do not show these controls.
Show Action Buttons
The ... icon at the right of the toolbar toggles the Show Action Buttons option. When enabled, a button bar appears at the bottom of the Documents grid.
The Documents Grid
The grid displays one document per row. Columns shown depend on the active layout. Selecting a row loads that document in the Document Viewer.
Selecting Documents
- Click a row to focus a document and load it in the Viewer.
- Use the checkbox at the left of each row to select multiple documents. Bulk actions such as Download or Mass Code apply to all checked documents.
- The checkbox in the column header selects or deselects all documents on the current page.
Sorting and Filtering
Columns can be sorted by clicking the column header. Right-clicking a column header opens a menu with additional grid options:

| Column Chooser | Opens a floating panel listing hidden columns. Drag a column name back into the grid header row to restore it. |
| Search Panel | Toggles a search bar above the column headers. Searches across all visible columns simultaneously and highlights matches. |
| Filter Row | Toggles the filter row below the column headers. Type a value in any cell to filter that column. Filtered values are highlighted in green. Click Clear on the left to remove all active filters. |
| Filter Row Menu | Opens a dropdown on the filter row cell to select a filter operator (contains, equals, starts with, and so on). |
| Footer | Toggles a summary footer row at the bottom of the grid. |
Resizing Columns
Column width can be adjusted by dragging the border between column headers. Column order cannot be changed by dragging directly in the grid - to reorder columns, the layout must be updated in Layout Management. See Document List Layouts below.
Unread Indicator
Newly uploaded documents appear in bold to indicate they have not been opened. Once a User selects and views a document, the bold formatting is removed. A document can be marked as unread again at any time through the right-click context menu.
Pagination
The footer below the grid shows the current page, total item count, and page size. Page size defaults to 100 and can be adjusted using the Page Size dropdown at the right of the footer.
Action Buttons Bar
When Show Action Buttons is enabled via the ... icon in the toolbar, a button bar appears at the bottom of the Documents grid. The buttons available depend on the User's permissions and the folder currently selected.

Document List Layouts
A layout is a saved set of fields displayed as columns in the Documents grid, in a defined order. Users apply layouts to change which metadata fields are visible without modifying the underlying data.
Layout configuration is managed through the Layout Management page, reachable two ways:
- Click the layout dropdown in the grid toolbar, then select Manage Document List Layouts.
- Go to Manage > Manage Document List Layouts from the top navigation bar.
Selecting a Layout
- Click the layout name in the grid toolbar to open the layout dropdown.
- Select a layout from the list. The grid updates immediately to show the columns defined in that layout.
Creating a Layout
- On the Layout Management page, click the + icon above the Layouts list.
- In the Create Layout Name window, enter a name.
- To make the layout available to all Users in the room, check Room Layout (available to all users in this room). Leave it unchecked to keep the layout personal (User scope).
- Click OK. The new layout appears in the Layouts list and its field configuration opens in the center and right panels.
- In the Available Fields panel, locate the fields to add. Drag a field row into the Selected Fields panel. To move multiple fields at once, use Shift-click for a range or Ctrl-click for individual rows, then drag the selection.
- In the Selected Fields panel, drag the hamburger icon on any row to reorder fields. Field order here determines column order in the grid.
Editing a Field's Display Name or Width
- In the Selected Fields panel, click Edit on the field's row.
- In the Edit Field window, update Caption to change the column header label as it appears in the grid, or update Width to set the default column width.
- Click Update.
Copying and Renaming a Layout
Each editable layout in the Layouts list shows two additional controls:
- Copy icon - creates a duplicate of the layout, saved as a personal (User) layout by default.
- Pencil icon - opens a rename dialog to change the layout's name.
Global layouts are read-only. They do not display copy, pencil, or delete controls and cannot be modified at the room level.
Deleting a Layout
Click the X icon on a layout row to remove it. Users can delete only their own personal (U) layouts. Room (R) layouts can be deleted by Room Administrators. Global (G) layouts cannot be deleted at the room level.
User Filter (Administrators only)
A User dropdown appears at the top of the Layout Management page, visible to Room Administrators only. It filters the Layouts list to show layouts created by a specific User, making it easier to manage layouts across the room.
Manage Layout Permissions
The Manage Layout Permissions button in the top-right corner of the Layout Management page opens Layout Permissions directly in a new browser tab, bypassing the usual path through Groups & Permissions. This button is visible to Room Administrators only.
Field Visibility and Permissions
The fields available in any layout are determined by the Field Permissions assigned to the User's Group. A field not permitted for the User's Group does not appear in Available Fields and is not visible anywhere in the room, including the Coding Panel.
Notes
- The Documents grid applies to eDiscovery rooms. Some features, including the Family ID and Family Main Date sort controls, are not available in non-eDiscovery rooms.
- Documents in Data Sources and Import folders cannot be moved, only copied to work folders.
- Column order cannot be changed by dragging in the grid. To reorder columns, update the layout in Layout Management.
- Column width can still be adjusted by dragging the border between column headers directly in the grid.
- For document-level actions - such as sharing, downloading, renaming, deleting, or coding individual documents - see Room Right-Click Menus.
- Hovering over the File Name column displays the File Information icon. Clicking it opens the File Information panel. See File Information Panel.
- Quick Rename Mode is available to Administrators only. Standard Users do not see this button even when the Action Buttons bar is visible.
- A field added to a room or global layout is only visible to Users whose Group has been granted permission to view that field.
