Overview
A Review Set is a structured workflow created by an Administrator to assign documents to Reviewers for systematic review. Reviewers access documents through a self-service check-out process, apply the required codes, and check in completed batches.
This article explains how to locate an assigned Review Set, check out and check in document batches, and understand the folder structure that tracks review progress.
Getting There
Review Sets are located in the Work Folders List panel on the left side of the Room Main Page.
- In the Work Folders List, locate the Review Sets folder and expand it.
- Locate the Review Set assigned to you by name.
- Expand the Review Set to view its subfolders.
Note: If no Review Set is visible, contact the Room Administrator to confirm assignment.
Understanding the Review Set Folder Structure
Each Review Set contains the following folders:
| Queued for Review | Documents assigned to the Review Set that are available for checkout. These documents have not yet been reviewed. |
| Review Complete | Documents that have been checked in with the required code applied. These are considered fully reviewed. |
| Checked Out | Documents currently checked out by the User for active review. Only the assigned User can see their own Checked Out folder. |
| Completed | Documents checked in by the User that met the required code condition. Subset of Review Complete visible at the individual user level. |
Note: The Queued for Review and Review Complete folders are visible at the Review Set level. The Checked Out and Completed folders are visible under the individual User's name within the Review Set.
Checking Out Documents
Checking out a batch assigns a set of documents from the Queued for Review folder to the User for review. Document families are kept together, meaning all documents belonging to the same family are included in the same batch.
- In the Work Folders List, expand the Review Set and locate the Checked Out folder under the User's name.
- Right-click the Checked Out folder and select Check Out Documents.
- A batch of documents will be automatically assigned and displayed in the Checked Out folder.
Note: Only the assigned User or the Administrator who created the Review Set can perform this action.
Reviewing Documents
Once documents are checked out, they are available for review in the Document Viewer and Coding Panel.
- Select a document from the Checked Out folder. The document will open in the Document Viewer.
- Review the document content and apply the required codes in the Coding Panel on the File Information panel.
- Use the Next Document button to advance to the next document in the batch without losing coding progress.
Note: A code category may be required before check-in is permitted. The Administrator configures this setting when creating the Review Set. If a required code is not applied, the document will not move to the Review Complete folder upon check-in.
Checking In Documents
Checking in submits the reviewed batch. Documents are moved based on whether the required code has been applied.
- Right-click the Checked Out folder and select Check In Documents.
- Documents that have the required code applied are moved to the Review Complete folder at the Review Set level, and to the Completed folder at the User level.
- Documents that do not have the required code applied are returned to the Queued for Review folder and will be included in a future checkout.
Note: Only coded documents advance to Review Complete. Documents without the required code return to the queue automatically.
What Happens After Check-In
After checking in, the User may check out a new batch from the Queued for Review folder if documents remain. This process repeats until all documents in the Review Set have been reviewed.
If a User assigned to a Review Set is removed from the Room, any documents in their Checked Out folder are automatically returned to the Queued for Review folder.
Notes
- Users must have the Tag and Code Documents room permission to apply codes and complete review.
- The batch size and required code field are configured by the Administrator at the time the Review Set is created and cannot be changed by the Reviewer.
- Document families are always kept together within a batch.
