Overview
Users can receive configurable notifications when new documents are uploaded or added to the folder. Any user that can see a folder is able to manage his own folder notifications.
Getting There
Configuring Folder Notifications
In order to configure folder notifications, right click on the folder, select the "Manage Notifications" option and specify the notification type you prefer.
Notifications are not allowed on special folders such as My Starred Items, Shared folders, Quarantine, Productions folders, etc.
You can configure notifications on the folder itself or you can also select to include all its subfolders. In this case, all subfolders inherit the parent's Notification options. If one or more inner folders are added you will be automatically configured with its parent's notification options.
A magenta circle will be displayed next to each folder to identify all the folders in which notifications were configured.
If you configure notification on a folder, you will receive an email each time the following actions happen on the folder:
- A new document is uploaded
- A new version of a document is added
- A document is moved or copied into the folder
How would you like to be notified?
The user can select one ore more options for the frequency of notifications. The options are: Immediately, Daily and Weekly.
Immediately by email: an email will be sent to the user right after any of the actions described above occur in the folder. This option can be shown or hidden depending on the value of SiteSettingKeyEnum 46. Please refer to Configuring Site Settings article for additional information.
By Daily Digest email: an email will be sent daily. This email contains a summary of all folder notifications grouped by room. It includes information of the number of documents uploaded and a link to Open the room. This link should take you to the folder.
By Weekly Digest email: an email will be sent every Friday. This email contains a summary of all folder notifications grouped by room. It includes information of the number of documents uploaded and a link to Open the room.
Note: when a folder and its subfolders don't have any notifications, and the user opens Manage Notifications and just checks "Apply to all subfolders of this folder", this will have no effect.
