In addition to searching for terms on the document's content, you can search by several different filters through the Advanced Search panel.
To open the panel, click on the magnifying glass shown on the Quick Search text box area.
The panel will open showing all available filters depending on the user's permissions and the type of room.
Document Full Text
On this field, you can type multiple words to be searched. Supported delimiters are comma (,) and new line. Wildcards and boolean operators may be used. For more information, check Full Text Search Syntax section.
Notes Text
You can search any text on all notes from all documents in the room. Just type the text on this field and Search.
Has Any Note
When checked, all documents having notes will be retrieved. If both fields are completed, Notes Text and Has Any Note, Notes Text has precedence over Has Any Note checkbox.
By Doc ID
On this field, enter all the document IDs you need to search for.
By Thread ID
On this field, enter all the Thread IDs you need to search for. Only shown when room has Perform Email Thread Analysis setting On.
By Upload Date
You can search for documents filtered according to their uploaded date. The options are: Last 24 Hours, Last 72 Hours, Last Week or you can set a Custom Date Range and specify any date and time.
Bates Number (When room is in eDiscovery Mode)
On this field, enter the Bates Number you need to search for. You can enter a single value or search for a comma delimited list of bates numbers.
Production Status (When room is in eDiscovery Mode)
You can search documents by Any Production Status, Produced and Not Produced.
Coding Panel
If there are Codes defined in the room, it will return documents matching all the codes selected.
Tags
Section is shown when there are tags in the room. You can also filter the search according to the Tags assigned to documents. One or more tags may be selected. You can also decide if you want to search for documents having All the tags , Any of the tags selected or None of the Selected Tags, by choosing the appropriate option on "Tag Search Mode".
Custom Fields
If there are Custom Fields defined in the room and at least one is not hidden, these will be shown so that you can search filtering by one or more custom field values assigned to documents. In order to search by this criteria, you need "See Custom Fields" permission granted.
Redaction
You can search documents by Any Redaction Status, Redacted, Unapplied Redaction and Not Redacted.
File Name
You can search documents by their names. If you don't know the full name, you can enter part of it and the system will retrieve all documents containing that string.
By Custodian (When room is in eDiscovery Mode)
If there are Custodians defined in the room, you can also search for documents belonging to the selected Custodians.
By Main Date
You can search by the document's main date. A custom date range should be specified by entering any date and time.
By Email Sent Date
You can search emails by the date they were sent. A custom date range should be specified by entering any date and time.
By Email From, To, CC
You can search emails by the Sender, Recipient and CC.
By Email Subject
You can search emails by their Subject.
Original Folder Path (When room is in eDiscovery Mode)
You can search for documents belonging to a specific path by entering the text in this filter.
Include Family Members
This option is checked by default, meaning that all attachments/emails from the documents matching the search criteria, will be included in the results. "Family Member" column will show Yes for all email/attachments.
Include All Related Thread Emails
Only shown when Perform Email Thread Analysis room setting is On. All emails in the same thread will be included in the results.
Suppress All "Included" Emails in Threads
Only shown when Perform Email Thread Analysis room setting is On. All emails included in the same thread will be excluded from the results. On ETA panel, suppressed emails are shown grayed out.
Saved Search Name
After all search filters have been specified, you can type a name and Save your search in case you want to re-run it afterwards.
Also, folders containing documents with hits, will display a label with the number of documents having hits. The first number indicates the total number of documents in the folder responsive to the search criteria. The second number indicates the total number of documents in the folder. When there's more than 10K search hits, this label is not shown, and a message appears saying "Search results were too large to show counts in subfolders."
All saved searches will be displayed when you click on "Search History" icon on Quick search.
If there are no saved searches, Search History icon will not be shown.
